The User History feature provides a complete audit trail of all actions and changes related to a user's account. This powerful tool helps Managers and Admins troubleshoot issues, track account modifications, and understand exactly what has happened on a user's account over time.
What Is User History?
User History records every action and change made to a user's account, including when it occurred, what was modified, how it was changed, and who performed the action. This creates a detailed timeline that's invaluable for diagnosing problems and resolving user issues quickly.
How to Access User History
Follow these steps to view a user's history:
- Log into the Management Dashboard
- Click "Users" in the left sidebar
- Select "User List" from the menu
- Click on the user you want to view to open their profile
- Navigate to the "History" tab at the top of the page (the last tab in the row)
For more information about other user profile tabs and fields, see our Create & Edit Users article.
Understanding the History Tab
The History tab displays a chronological record of all user-related activities and changes. Each entry includes the following information:
Date
- Shows when the action or change occurred
- Includes both date and timestamp for precise tracking
Action
- Describes what happened (e.g., profile updated, trip logged, email sent)
- Provides a clear summary of the activity
Trigger
- Indicates what initiated the action (e.g., user action, automated system, admin change)
Details
- Provides additional context and specifics about the change
- May include before/after values or other relevant information
Performed By
- Shows who made the change (the user themselves, an admin, or the system)
- Helps identify whether changes were user-initiated or administrator-driven
Expand any result by clicking the small arrow at the beginning of the line. This reveals additional details and metadata regarding that specific action.
Filtering User History
The History tab includes powerful filtering options to help you quickly find specific actions or events.
To filter by column:
Click on the filter icon next to any column header. A search bar will appear, allowing you to search for specific terms within that column.
To filter by category:
Use the category filters to refine your results. You can select one or a combination of the following:
- Communication: (e.g., emails, notifications)
- User: (e.g., profile changes, logins)
- Vehicle: (e.g., carpool details, registrations)
These filters can be combined, allowing you to zero in on specific data points quickly.
Using User History for Troubleshooting
User History is particularly valuable when diagnosing and resolving user issues. It works hand-in-hand with the Proxy as a User feature to provide comprehensive support.
Example troubleshooting scenario:
A user reports that something stopped working on a specific date. Here's how User History helps:
- Navigate to the user's History tab
- Use the Date filter to look up activities around that date
- Review what actions or changes occurred at that time
- Identify what might be responsible for the issue
- Take appropriate action to resolve the problem
