When you add a user to a Network, that user automatically becomes a member of the parent Network as well. This hierarchical structure ensures proper access and organization across your Network tree.
Three Ways to Add Users to Networks
There are three primary methods for adding users to Networks. The method you choose depends on your preferences.
Method 1: Self-Join via Network Settings
The self-join method allows users to join Networks on their own, either by searching for the Network or using a join link. The availability of this method depends on your Network's visibility settings. More detailed explanations can be found in the article Networks Intro_New.
Open Networks
Open Networks provide the easiest joining experience for users:
- Users can search for and find the Network directly within the application
- You can generate and share a customizable join link that automatically adds users when they click it
Private Networks
Private Networks offer more controlled access:
- Users cannot find Private Networks by searching in the application
- Users can only join via invitation, for example with the customizable join link
- This option is ideal for departmental or team-specific Networks that shouldn't appear in public searches
To generate and share a join link for an Open and Private Networks:
- Navigate to your Network's settings
- Go to Public Settings
- Locate the join link section
- Copy the link or customize it as needed
- Share the link with users via email, your intranet, or other communication channels
Managers and Admins can access and copy this link anytime from the Network's settings
Hidden Networks
Hidden Networks provide the highest level of privacy:
- Users cannot see these Networks
- No join link can be generated for Hidden Networks
- This setting is designed for sensitive or restricted-access Networks
Method 2: Auto-Join by Email Domain
The email domain method automates user assignment based on their email address, making it ideal for organization-wide Networks.
How it works:
- When creating or editing a Network, navigate to Public Settings
- Locate the Email Domain field
- Enter one or more email domains (e.g., @rideamigos.com)
- To add multiple domains, separate them with commas (e.g., @company.com, @subsidiary.com)
What happens next:
- Any new user who registers with an email address matching one of the specified domains will automatically be added to this Network
- This happens immediately upon registration, with no manual action required
Method 3: Manual Assignment
Manual assignment gives you precise control over Network membership. There are two ways to manually add or remove users:
Option A: From the User List
Use this method when you're focused on managing a specific user's Network memberships:
To add a user to Networks:
- Go to User List in the left sidebar
- Search for the user by name or email
- Click on the user's name to open their profile
- Navigate to the Networks tab
- Click the plus (+) icon
- Search for and select one or multiple Networks from the list
- Click Add Selected
To remove a user from a Network:
- Follow steps 1-4 above
- Locate the Network in the user's current Network list
- Click the three dots (⋮) next to the Network name
- Select Remove
Option B: From the Network's Members Tab
Use this method when you're managing membership for a specific Network:
To add users to a Network:
- In the left sidebar, navigate to Networks
- Select the Network you want to manage
- Open the Members tab
- Click the plus (+) icon
- Select one or more users from the list that appears
- Confirm your selection
To remove users from a Network:
- Follow steps 1-3 above
- Locate the user you want to remove
- Click the red person icon next to their name
- Confirm the removal
Network Association via SSO (Advanced)
If your organization uses Single Sign-On (SSO), you may be able to automate Network assignment using additional data from your SSO provider.
How it works:
- Network membership can be determined automatically based on attributes passed from your SSO system (such as department, location, or custom fields)
- This is an advanced feature that requires specific configuration of your SSO integration
- Availability depends on what user data your SSO provider makes available to RideAmigos
