Before assigning roles, we recommend reviewing the "Roles & Permissions" article for a complete overview of what each role can do.
Here's a quick recap of the three managerial roles:
Admin (Full Instance Access)
- Access to all networks and settings
- Full control over users, networks, programs, and configuration
- Should be chosen carefully—Admins can assign other Admins and see user details
Manager (Network-Level Access)
- Manages a specific network and its subnetworks
- Controls users, networks, and programs within that scope
Program Coordinator (Program Access Only)
- Edits programs and rewards only
- Cannot manage users or networks
Note: There is a fourth role called "Commute Hub Support" that you cannot assign. This role is reserved exclusively for RideAmigos employees to provide support.
Assigning an Admin Role
Steps to assign the Admin role:
- Log into the New Management Dashboard
- In the left sidebar, click Users
- Select User List
- Search for the person you want to assign the Admin role to
- Click their name to open their profile
- Click the Roles tab at the top
- Use the dropdown to select "Admin"
- Click the blue "Save" button
- The role is now assigned
Choosing Admin Carefully
Because Admins have full visibility and control, and can assign other Admins, choose this role with care. Consider:
- How many Admins does your organization truly need?
- Does this person need organization-wide access or just within one network?
Assigning Manager or Program Coordinator Roles
These roles apply only to a specific network. Use these roles when someone should manage only one department, team, or location.
Understanding Networks
Networks help you group users by department, employer, location, or any other organizational structure. For a complete overview, see the "Networks Intro" article.
Example: Your organization has a subnetwork called "Marketing Department." You want someone from Marketing to help manage that specific network without giving them managerial access to other networks.
Choosing the Right Role
Manager: Gives full control over assigned networks and their subnetworks. Managers can manage users, create or edit programs, and adjust settings within those networks.
Program Coordinator: Gives limited permissions. Perfect if someone should update challenges or rewards and download reports, but not manage users or networks.
Option 1: Assign a Network-Level Role from the Network
- Log into the New Management Dashboard
- In the left sidebar, click Users
- Click Networks
- Select the network where you want to assign the role (e.g., "Marketing Department")
- Click the Roles tab
- Click the person + icon in the upper left
- Search for the person you want to add
- Select their name
- Choose a role from the dropdown (Manager or Program Coordinator)
- Click "Save"
Option 2: Assign a Network-Level Role from the User Profile
You can also assign network-level roles directly from a user's profile:
- Go to Users → User List
- Search for and click on the person's name
- Click the Roles tab in their profile
- Select Manager or Program Coordinator from the dropdown
- A network selection window will appear
- Select the network where this role should apply
- Use the dropdown to specify if they should be a Manager or Program Coordinator
- Click the blue "Save" button
Changing or Removing Roles
To Change a Role
The easiest way to change a role is through the user's profile:
- Go to Users → User List
- Search for the person and click their name
- Click the Roles tab
- Use the dropdown to change to another role
- Click "Save"
For example, if someone who was previously an Admin now has different responsibilities in the organization, you can easily change them back to a standard user using the dropdown.
To Remove a Network-Level Role
You can remove a network-level role in two ways:
Method 1 - From the Network:
- Go to Users → Networks
- Select the network
- Click the Roles tab
- Click the red icon next to the person's name
Method 2 - From the User Profile:
- Go to Users → User List
- Click the person's name
- Click the Roles tab
- Use the dropdown to change their role or click the red icon to remove it
Note: Removing a role does not delete the user from the network—it only removes their management responsibilities.
Important Role Rules to Keep in Mind
☝️Keep these rules in mind when assigning access:
- Management Across Networks: Admins, Managers, and Program Coordinators can manage networks they are not a member of, as long as they have management rights.
- Role Inheritance: Management roles assigned to a parent network automatically apply to all subnetworks.
- Protection Rule: You cannot remove someone's management role in a subnetwork if they have a management role in the parent network.
- Hierarchy Rule: You cannot downgrade a subnetwork role below the parent network role.
- Higher Subnetwork Roles: Subnetwork roles can be higher than parent roles, but parent role changes don't automatically downgrade subnetwork roles.
